We take good care of your data

We treat your data as confidential and careful according to the privacy laws (by DSGVO art. 6) and the following description. By using our website you accordingly agree to the elicitation, processing and usage of those data. Our website can also be used without registration and and declaring of personal data, as far as practicable. 

 

What kind of data do we store and what do we do with it?

By usage of the Indie Arena Booth website your browser transports following information in Server-Log Files:
- Browsertype and -version
- employed operating system
- Referrer URL
- Hostname of the accessing computer
- date and time of server request
- IP address
This data will automatically be served on our server and will be used for potential tracing and recording of improper access such as hacker attacks.
All additional personal data are only collected on a voluntary basis are not given to third parties without your explicit permission. We use the data for the application process and public relation activities for the Indie Arena Booth (IAB).

Usage of game developer’s data

By registration as a game developer to participate in the application process, you will have to provide the following data:
- company name and residence
- contact person
- e-mail-address for registration and to keep you informed about the next steps
- name and general information (mainly a gameplay-video) of the game submitted

On that basis our jury decides if your game is in line for for the Indie Arena Booth. If not, your data will be deleted immediately after the submission process is finished.

If your game gets selected and you are still interested in being an exhibitor at Indie Arena Booth, we will need further data:

name, address and VAT number (for EU-based companies only) for invoicing. The first invoice will be due, as soon as you are selected for the IAB and you give your mandatory approval to be part of it.

press data about the submitted game for their usage in our press kit. We made it up in order to promote your game within the PR and Social Media activities of the Indie Arena Booth.

These data are mandatory to guarantee a successful participation in the Indie Arena Booth. If you should refuse to provide those data, we cannot allocate our services and therefore a contract can not be concluded.

Communication via our Newsletter

Basically we try to provide as much information as possible via our website within the FAQ. Should there be further urgent information, that we have to transfer to you we will use our Discord server (www.discord.gg/iab) on the one hand; and on the other hand our internal Newsletter-system. However, your data will not be delivered to third party, but managed internally.

Deletion of your personal data

After the event in which you took part in as an exhibitor at Indie Arena Booth is over, we will possibly send a second invoice containing articles or services that you ordered via our online-ordering-system; or that you bought or used during the event. After paying the last invoice and as soon as all above mentioned processes, that we necessarily need your data for,  are completed, your data will immediately be deleted. 

Exception

Beyond the duration of the above mentioned processes we store certain personal data (solely name and email address) in order to inform you via our newsletter about further IAB events you can participate in.

Usage of publisher’s data

Being part of the Indie Arena Booth as a publisher you do not have to go through the application process. However, in terms of registration of your company and your game we need the following data:
a) name, address and VAT number (for EU-based companies only) for invoicing. The first invoice containing Premium Booth fees will be due as soon as there is an agreement on your participation in the Indie Arena Booth.
b) press data about the submitted games for their usage in our press kit. We made it up in order to promote your games within the PR and Social Media activities of the Indie Arena Booth.

This data is mandatory to guarantee a successful participation in the Indie Arena Booth. If you should refuse to provide those data, we cannot allocate our services and therefore a contract can not be concluded.

Being part of the Indie Arena Booth as a press you do not have to go through the application process. However, in terms of registration of your profile and your game we need the following data:
a) name, outlet you're writing for, e-mail address 
b) data about the games you're interested in (when you want to share it with the developers)

Communication via our Newsletter

Basically we try to provide as much information as possible via our website within the FAQ. Should there be further urgent information, that we have to transfer to you we will use our Discord server (www.discord.gg/iab) on the one hand; and on the other hand our internal Newsletter-system. However, your data will not be delivered to third party, but managed internally.

Deletion of your personal data

If you want to delete your data, you can do it anytime. 

Usage of Streamer's data

Being part of the Indie Arena Booth as a streamer you do not have to go through the application process. However, in terms of registration of your profile and your game we need the following data:
a) first name, last name, streaming channel, genres you like playing, e-mail address
b) data about the games you're interested in (when you want to share it with the developers)

Communication via our Newsletter

Basically we try to provide as much information as possible via our website within the FAQ. Should there be further urgent information, that we have to transfer to you we will use our Discord server (www.discord.gg/iab) on the one hand; and on the other hand our internal Newsletter-system. However, your data will not be delivered to third party, but managed internally.

Deletion of your personal data

If you want to delete your data, you can do it anytime. 

Usage of volunteer’s data

If you are part of the Indie Arena Booth as a volunteer, we will need the following data:
name, address, age, phone number (all optional) and email address (mandatory) for registration, spoken languages and time available for planning your temporary and local volunteer shifts, t-shirt size, as all volunteers receive a fancy IAB-t-shirt for free

After your registration as a volunteer we decide if we can appoint you as a volunteer. If there is no possibility to slot you anywhere, your personal data will be deleted immediately. It is possible that your volunteer services are also needed at one of our exhibitor’s booths. We will inform you about those possibilities via mail. Should you be slotted as a volunteer we will use your personal data for shift planning.

Communication via our Newsletter

Basically we try to provide as much information as possible via our website within the FAQ. Should there be further urgent information, that we have to transfer to you we will use our Discord server (www.discord.gg/iab) on the one hand; and on the other hand our internal Newsletter-system. However, your data will not be delivered to third party, but managed internally.

Deletion of your personal data

After your registration as a volunteer we decide if we can appoint you. If there is no possibility for you being a volunteer at the IAB or one of our exhibitor’s booths your personal data will be deleted.

If we can slot you as a volunteer, you can delete your personal data after the respective event.

Your Rights

Disclosure
You have the right to obtain free information about your data at anytime. If desired we can provide a copy of the data stored about you.

Rectification
You can claim to have your personal data rectified or completed at anytime.

Deletion
You have the right to immediate deletion of your data, in case of following occasions:

  • it is no longer necessary to store your data for their originally purpose.
  • you revoke your permission to store your data and there is no legal basis otherwise
  • you lodge an objection against the processing (by DSGVO art. 21) and there are no prior eligible reasons for processing the data; or you lodge an objection against processing by DSGVO art. 21, sect. 2.
  • your personal data have been processed unlawfully
  • deletion of your data is necessary to fulfill a legal obligation after EU right or the right of the member state that we subject to. 

Limitation of processing

You have the right to demand a limitation of the processing of your personal data, in case of following occasions:

  • you dispute the validity of your personal data, during the time we need to check their validity
  • the processing of your personal data is unlawful, but you decline a deletion of them and ask for a limitation of their processing instead. 
  • we no longer need your personal data for processing but you need them for enforcement, exertion or defence of a legal claim. 
  • you have lodged an objection against your personal datas’ processing by DSGVO art. 21 sect. 1, but it is not certain by now whether our companies’ eligible reasons outweigh yours.   

Transferability of data

If you want us to provide your data you have the right to obtain them in a structured, common and machine-readable format. Besides,  you have the right to convey them to another party without us impeding.

Objection

You have the right to lodge an objection against the processing of your personal data at anytime.
